Although I got plenty of questions about my accommodations for my Group Birthday Trip to Tulum, Mexico and many questions about my wardrobe I surprisingly got asked A LOT about the dynamics of planning a group trip. I don’t mean to toot my own horn, but TOOT TOOT because I’m already an amazing trip planner. I am meticulous when it comes to affordability and aesthetics. It’s probably my overzealous Type-A personality but I know what kind of experience I want to have and would never leave the planning up to someone else. LOL. But that’s just me. There are two types of people in the world, those who plan and those who pay and show up. I, Beloved’s am the former. Although I’ve planned many small trips with just 2-3 people including myself, this was my first big group trip. Our trip went off pretty seamlessly and we all had an amazing time without any drama, cat fights or any of that. We are all bloggers + influencers too so that was no small feat as far as getting content and still enjoying ourselves. Here are my 5 tips for planning an Amazing Girls Trip.
Invite People Who Get Along With Everyone on The Trip
It’s a good idea to make sure no one has beef because if they do it will amplify in a foreign country in close quarters. It’s best to just leave people who you know don’t like each other completely out of the running for a group trip. I don’t care how much you like them or even if they are family members. It’s not worth the peacefulness and all the money you spend for the trip to have a horrible, hostile, tension filled time. It’s also good to know how personalities will mesh on a trip. I love being social but have a finite amount of time I can be in the presence of more than 3 people. Most nights I left the group to have some alone time in my room. That’s just me. I explained this to everyone before the trip so no one would take it personally and thankfully no one did.

This will work well for the planner because you won’t have to be the sole point of contact for everyone during the trip. That can be exhausting. Mostly everyone on this trip knew of each other via social media or hung out in real life before. I was the common link between everyone but we all knew of each other and hung out previously. This took the pressure off of me to make sure everyone had a good time and was able to be social.
Take Affordability into Account When Thinking of Who to Invite
Not every one is on the same level financially and that’s ok but plan for that. Nothing is worse than going on a vacation to relax and have a great time and there’s that one person who refuses to split the bill 5 ways. Conversely don’t opt to go on a trip if you don’t have the money to actually go and not worry about your expenses. Out of everyone on our trip, I probably make the least amount of money but I budgeted to make sure I wouldn’t have to penny pinch during this trip. I also made it super affordable. The entire 4 Day Trip with airfare & lodging was between $600-$1000 per person depending on if they shared a room or wanted their own. [/one_half_last]
Do Make It Easy To Pay
It was easier to just have everyone pay me to arrange lodging and airport transfers and have everyone book their own fight. I booked my flight first and shared my itinerary with the rest of the group so no matter where we flew in from we’d all arrive at similar times to our travel destination. This also made it easier to arrange group airport transfers which are a lot cheaper with a group that individually. Luckily with Airbnb, which is my preferred lodging second to small Boutique Hotels, you are actually able to split the cost of your airbnb with every guest evenly. Do Plan a Very Loose Itinerary But Don’t Get Too Attached
I think it’s great to have a loose itinerary for those who really want an experience. Have 2 local activities planned and maybe 1 nice dinner. Include that in a group email so everyone knows what to expect when it comes to packing outfits and clothing. Also see what everyone else wants to do. After a quick Instagram search of your travel destination you can probably pick the top 3 restaurants/sights to see and activities to offer to the group. But we are all adults here and grown women at that. Let people know they are free to do whatever they want with their time.
Give People Options
Provide as much information as possible from the cost of the trip, to how much food will cost, how much events and activities costs, weather outlooks and accommodation information so people can make decisions. Also give people the option to lodge alone. I know we all wanna save money but some people would rather have their privacy and don’t mind paying for it. Give them the option to do that.
Set Expectations Early
I let people know up front that I wouldn’t be doing any work other than what I had to do because of contracts on this trip. That extended to taking anyones photos. I just wanted to relax. Luckily my good friend and photographer Rose didn’t mind taking photos so she became the designated photographer for anyone who wanted professional photography for the trip. Everyone booked their times with her a day or so in advance and it went pretty smoothly without us all clamoring for her time and actually letting her enjoy the trip as well. I also let everyone know that there will be no stush vibes on this trip. We all got along extremely well and are probably closer better friends because of it.
